These AI prompts for contractors work in ChatGPT, Claude, Gemini, and Microsoft Copilot. Copy one, fill in the brackets, and paste it into whichever tool your company approves.
Before you paste anything, strip names, addresses, and pricing you are not allowed to share. Then check every number the tool gives back.
The C.L.E.A.R. Method
Every prompt below follows the same five parts.
- Context: what the job is
- Limitations and length: what to avoid, how long
- Examples: what good looks like
- Audience: who reads it
- Role: who the AI should act as
You do not need all five every time. The more you include, the less you fix.
10 Prompts
1. Scope checklist from an RFP
You are a senior estimator. Read the RFP text below and list every scope item, exclusion, and alternate. Put them in a checklist. Flag anything unclear. [paste text]
2. Bid clarification questions
You are a project manager for a [trade] subcontractor. From this scope, write 10 questions to send the GC before we submit our bid. Keep each under 25 words. [paste scope]
3. Submittal check against the spec
Compare this submittal to spec section [number]. List what matches, what is missing, and what conflicts. Do not guess. Say "not found" if you cannot find it. [paste both]
4. RFI draft
Write a clear RFI for the architect. Issue: [describe]. Drawing reference: [sheet]. Keep it to 120 words. Include one proposed solution.
5. Toolbox talk
Write a 5-minute toolbox talk on [hazard] for a crew of [trade]. Use plain language and 5 bullet points. End with 3 questions for the crew.
6. Daily report cleanup
Turn these field notes into a clean daily report with headings for work performed, manpower, delays, and safety. Do not add anything I did not write. [paste notes]
7. Change order narrative
Write a neutral, factual change order explanation for the owner. Cause: [describe]. Added scope: [describe]. Keep it under 150 words. No blame.
8. Subcontract summary
Summarize this subcontract for a non-lawyer. Pull out payment terms, notice deadlines, retainage, and indemnity. Quote the clause number for each. [paste text]
9. Client update email
Write a short project update to the owner. Status: [describe]. Next steps: [describe]. Tone: calm and direct. No jargon. Under 120 words.
10. Meeting notes to action items
From these meeting notes, list action items with owner and due date. If a date or owner is missing, write "TBD." Do not invent any. [paste notes]
Make Them Work Better
- Give it a role. “You are a senior estimator” changes the answer.
- Set a length. It stops rambling.
- Say what not to do. “Do not guess” cuts down on made-up answers.
- Ask for a second pass. “Now check your own answer for errors.”
Always Check
AI sounds sure when it is wrong. In 2023 a federal judge sanctioned two lawyers for filing cases ChatGPT invented. Verify anything tied to money, code, or safety.
Which Tool?
Use the one your company has approved. The prompts work the same in all four. Tool menus differ, but each has a place for instructions and files.
FAQ
Do these prompts work in Claude and Gemini, or only ChatGPT?
They work in ChatGPT, Claude, Gemini, and Microsoft Copilot. Results vary by tool, so test each one on your own documents.
What is the C.L.E.A.R. method?
It is a five-part prompt structure: Context, Limitations and Length, Examples, Audience, and Role.
Is it safe to paste a contract into an AI tool?
Check your contract, your company policy, and the tool’s data settings first. Strip identifying details either way.
Can AI do my estimate?
It can draft checklists and questions. A person should verify every quantity and price.
